Nexus Premedical Advising
One portal for students, parents, mentors and admins that runs billing, scheduling, mentor payouts and reminders for a premed mentorship program.
Background
Nexus Premedical Advising mentors high-school students toward top medical programs. Behind the mentoring, a lot of admin was being done by hand.
The problem
Families were onboarded manually, installments chased by hand, sessions scheduled and turned into calendar invites one by one, session limits tracked in someone's head, and mentor payouts worked out by hand. Leads from the CRM were re-keyed into accounts.
What we built
One portal with a dashboard for each role. It takes payment and runs subscriptions, installments and autopay behind a payment gate; books mentor sessions against live availability, checks the plan's session limit, and auto-creates a calendar event with a video link and confirmation emails; tracks mentor session notes, earnings and payouts; and syncs leads from the CRM into accounts. A set of scheduled jobs sends every reminder, from upcoming sessions to overdue payments.

How it works

A student picks a session slot, and the portal checks their assigned mentor, the plan's session limit, and that the slot is still free.

It books the session, activates any pending subscription and generates the installments.

A calendar event with a video link is created automatically, and confirmation emails go to the student, mentor and parents.

Mentors log session notes; their earnings and payouts are calculated for them.

Admins see revenue, expenses and KPIs and manage pricing, and leads from the CRM turn into accounts on their own.
